Take a disposal off the market cleanly, whether the instruction has ended or the listing is being paused, without losing the historical record or breaking downstream reports.
β Why
Properties come off the market for lots of reasons: the landlord pauses marketing, the instruction moves firms, the deal completes, or it's simply gone stale. Each scenario has a different correct action in Kato, and getting it right means your active lists stay clean, society members see accurate data, and you keep a record you can point to later if the opportunity comes back.

Five options, depending on the scenario:
Log a deal - use when the property has let or sold.
Archive - remove from active lists; record is preserved and searchable (selecting the reason for archiving (disinstructed/withdrawn)
Unpublish from society or third party portals - keep it internal but pull it down from other locations
Recirculate - when you need to refresh the listing rather than withdraw it

Archive a disposal
Open the disposal, click Actions in the top right, and choose Archive. The disposal is removed from active lists but remains fully accessible via the Status filter or the text search on the Disposals page. You can reinstate to active at any time.
Use archive when:
The landlord has asked you to pause marketing
The property has let or sold (archive is automatic when you log a deal)
You're cleaning up stale listings
Disinstructed vs Withdrawn: published or not, disinstructed is for when you no longer hold the mandate to act on the disposal. Whereas withdrawing can be for a multitude of reason - make use of hte comment box to help keep an internal record of the reasons for the archiving. Using the right status keeps your team's history accurate.
Additionally, if archived disposals are still visible to external agents, it may be because they were not unpublished from external societies or portals before archiving. Ensure the status is updated to "Let" or "Withdrawn" to remove them from external feeds.
Unpublish from society or third-party portals
If you want to pull the listing from the Agents Society/Rightmove/Zoopla but need to keep it active in your own Kato (for private marketing, direct enquiries, or awaiting landlord sign-off), open the disposal and click the unpublish option in the publishing section. The disposal stays active internally; only the society/third party presence is removed.
If archived disposals are still visible externally, it likely means they were not unpublished before archiving or the status was not updated to "Let" or "Withdrawn."
Recirculate a stale listing
If your listing is still active but hasn't been seen by members recently, recirculate it to push a fresh notification. Open the disposal and click Recirculate in the society controls. Recirculation has a 7-day minimum window, if you need to recirculate earlier, message Kato support.
Handling the 60-day approval cycle
Every 60 days after publishing to the society, Kato prompts you to confirm the listing is still accurate. After 80 days without confirmation, the listing is automatically unpublished from the society β this keeps the quality of data high for all members.
You'll see prompts to approve in four places:
Email β a list of ageing listings with a one-click approval link
Homepage β a review section for unconfirmed listings
Disposals list β an orange bar flagging listings due for approval
Individual disposal page β a prompt to confirm accuracy
From the disposals list, you can bulk-approve, tick listings, click the action, and confirm. From an individual disposal, use the orange prompt bar to confirm, archive, or complete as a deal.

Open the disposal and click Actions in the top right.
Choose Log Deal, Archive or unpublish, whichever applies.
If the listing is still active but stale, use Recirculate instead.
π‘ Common mistakes and pro tips
Don't delete β archive. Kato preserves archived records so you can search, reinstate, or duplicate for future reference. Permanent deletion loses history.
Use Disinstructed for lost instructions. Archive confuses your team history, Disinstructed makes it clear what happened.
Respond to 60-day prompts promptly. Bulk-approving takes seconds and keeps your society presence live without interruption.

How do I find an archived disposal? Two ways, use the text search at the top of the Disposals page (it cuts through filters), or enable the archived states in the Status filter.
Can I reinstate an archived disposal? Yes, open the archived record and change its status back to active. All history, media and availability are preserved.
What if I need to recirculate within the 7-day minimum? Contact Kato support at support@kato.app or 0203 772 8898 and they can push a recirculation through.
Why are old/archived disposals still visible to external agents? Ensure the disposal has been unpublished from the society/portals and/or archived with the correct status ("Let" or "Withdrawn") to remove it from external feeds.
