Joint agency instructions are common on larger commercial disposals, and they're traditionally painful to manage, with activity fragmented across spreadsheets, emails, and two sets of notes. Kato's joint-agent workflow gives both firms a single Interest Schedule to work from, while keeping each firm's unqualified Inbounds, private notes and internal comms separate. The landlord sees one combined picture; each firm keeps its own competitive edge.

Step 1 - Add a joint agent to your disposal
Open the disposal, go to the Management tab, and add the joint agent details:
Search for the joint firm by name, Kato recognises any Agents Society or Kato Pro agency.
Step 2 - set up a Joint Interest Schedule
Using the 'Share' button on the interest schedule, simply start typing your joint agent's email, and they will appear in the drop-down. Click invite agent so they can receive an invite welcoming them to merge their interest schedule with yours.
Both firms can:
Add matches from their own requirements or the Agents Society
See all matches the other firm has added (providing they have not been made confidential)
Update comments, book viewings and log feedback in a shared view
Edit the shared disposal record (availability, marketing, media)
Recirculate and unpublish society listings together
What stays private?
Kato keeps some data private to each firm by design:
Inbounds - each firm has its own private Inbounds view. You don't see the other firm's unqualified flow, and they don't see yours.
Internal comments - comments marked as internal are visible to your team only, not to the joint firm.
Agency-specific requirements - your own requirements aren't exposed to the joint agent unless you choose to add them as a match.
Confidential - Any user can mark a line of interest as confidential, meaning it only appears in the interest schedule for users within their organisation.
Reporting to the landlord together
The landlord sees one combined schedule. Either firm can:
Download the Joint Interest Schedule as a single PDF or Excel report
Invite the landlord to the Landlord Portal, they will see the combined live view in a seperate landlord version of Kato.
To invite a landlord to viewi the schedule digitally, simply click the 'share' button on the interest schedule and select 'share with landlord' before entering their email address and hitting 'Invite landlord'.
Comments added by either firm appear in the combined report under that firm's name, so the landlord can see who is driving each conversation.

💡 Common mistakes and pro tips
Agree a cadence upfront. Decide who posts weekly comments, who leads viewings, who calls the landlord it avoids duplication and keeps the schedule clean.
Use internal comments for your team's notes. Anything you wouldn't say in front of the joint firm belongs in internal comments, not the shared schedule.
Your Inbounds stay yours. Qualify your own inbound flow and only approve onto the shared schedule the enquiries worth reporting.
Coordinate society recirculation. Either firm can recirculate the society listing, but coordinate to avoid re-sending within the 7-day minimum window.
❓ FAQs
Can I work with more than one joint agent? Yes, you can add multiple joint firms on the same disposal.
What happens to the Joint IS when the deal completes? Both firms see the transaction record when the deal is logged, and the schedule archives into the disposal's history.
Can I revoke a joint agent? Yes, remove them from the Management tab. They lose access to the disposal immediately; their historical comments remain on the record.
