πΉ Watch: reporting on a requirement to your occupier
π What's covered
For tenant reps (reporting to occupiers):
Managing the availability schedule for a requirement
Finding and adding matching properties
Customising availability reports and downloadable outputs
Setting up and sharing a digital client login
Sending availability reports via email
π Quick Start (2 minutes)
Reporting to an occupier (Availability Schedule):
Open the requirement β Match Schedule tab.
Curate your shortlist β drag the relevant properties into the client-facing column.
Customise the report: pick which columns to include, add occupancy-cost calculations if relevant.
Export as PDF / PowerPoint / Excel, or share via a digital client login for a live view.
β Why
Client reporting is where agents spend disproportionate time and where relationships are made or lost. Kato gives you two purpose-built tools: Interest Schedules for your disposals (what demand exists, and what you're doing with it), and Availability Schedules for your requirements (what supply exists, and what you're recommending). Both can be shared as PDF, download, or a live client login.
π‘ Common mistakes & pro tips
Update comments before, not after, your landlord call. The schedule itself becomes your agenda.
Use the digital client login for occupiers who want a live view β eliminates version-control issues with PDF iterations.
Record viewings directly on the match β feedback flows into both the disposal and requirement records automatically.
For joint agents, both firms see the same Interest Schedule in real time. Agree a convention for who updates what to avoid duplicate comments.
