Reporting options and how you can use them

Written by Max Kemplen

🎯 Goal

Understand the reporting options Kato offers, what's built in, what requires a bolt-on, what's for internal team review versus client-facing, so you can pick the right reporting tool for the moment.

❓ Why

Kato has multiple reporting surfaces: interest schedules, availability reports, insights dashboards, campaign reports, and exports from the transaction libraries. They each answer different questions. Knowing which to reach for saves you rebuilding reports outside of Kato and keeps client-facing output consistent and professional.

πŸ” Overview

Kato reporting breaks into five main surfaces:

  • Interest Schedules - the live enquiry report shared with landlords on a disposal

  • Availability reports - longlists and shortlists shared with occupier clients with requirements

  • Agency Insights (BOLT ON) - dashboard-based analytics across your agency and team's activity

  • Campaign reports - email campaign performance analytics

  • Lease / Sales exports and comp schedules - transaction-based comparables

  • Demand Insights (BOLT ON) - Demand data from across your society marketplace

πŸ“Š Interest Schedules - for landlord reporting

Shared live via Kato, or exported to Word/Excel. Updates in real time as matches progress. Use for:

  • Weekly landlord updates

  • Marketing meetings (try Present Mode for clean screen-share)

  • Deal progression visibility across joint agents

πŸ“Š Availability reports - for occupier reporting

Shortlists and schedules delivered to tenant-rep clients via email, digital client login, PowerPoint, or Excel. Use for:

  • Shortlist delivery

  • Side-by-side property comparisons

  • Interactive client portals

πŸ“Š Agency Insights (BOLT ON) - for internal team reporting

Dashboard-based analytics across your agency's disposals, viewings, transactions, and requirements. Comparable to previous periods. Use for:

  • Team performance reviews

  • Leadership pipeline oversight

πŸ“Š Campaign reports - for marketing performance

Opens, clicks, bounces, recipient-level activity for each email campaign sent. Use for:

  • Following up on engaged recipients

  • Managing bounces and list hygiene

  • Benchmarking subject-line and send-time performance

πŸ“Š Transaction exports - for comparables and benchmarking

Export filtered lease or sale records as spreadsheets or formatted comp schedules. Use for:

  • Valuations and rent reviews

  • Client pitches with market evidence

  • Internal benchmarking

πŸ“Š Demand Insights (BOLT ON) - Demand data from society marketplace

Cut, carve and compare the entire demand side of a marketplace across multiple filters and categories:

  • Demand Trends across time periods

  • Sources of Demand by sector

  • Demand by Fit-out type

  • Demand changes by Location/ Size/ Timing

βœ… You've done it when…

You know which reporting surface to use for each scenario - no more exporting raw data into Excel to build a report Kato already produces.

πŸ’‘ Common mistakes & pro tips

  • For client reporting, prefer Kato's native reports over spreadsheet exports. They're branded, consistent, and live.

  • Use Present Mode in landlord meetings. It strips the admin chrome so the schedule is front-and-centre.

  • Agency Insights is for leadership. If you're running a team, it's your weekly number-gathering tool.

  • Don't duplicate work. If a report exists in Kato, don't rebuild it in Excel.
