How to report to your Landlord

Landlord reporting is where agents spend disproportionate time and where relationships are made or lost. The Kato Interest Schedule is the single source of truth for every piece of activity on your disposal, enquiries, viewings, matches, comments, status. Getting comfortable with the schedule and how to share it means less time rebuilding context in spreadsheets, and a client who feels more informed.

πŸ” Overview of the Interest Schedule

The Interest Schedule pulls together every piece of interest on your disposal and lets you manage it in a single view. It has four key areas:

  • Interest - the lines of enquiry that you are actively pursuing, updating or have previously discounted

  • Inbounds - unqualified enquiries waiting for your approval (society matches, portal enquiries, internal logs)

  • Prospects - potential matches actively being targeted

  • Activity Timeline - to help all parties keep track of what has changed

  • Live & Sync - gives the agent control of how and when the client receives updates

Manage matches on the schedule

  • Approve Inbounds onto the active schedule using the Inbounds section on the left hand nav bar.

  • Add matches manually from your internal requirements, the Agents Society, or the match finder.

  • Update match status β€” longlist, shortlist, viewing, offer, withdrawn β€” by dragging between columns or using the match actions.

  • Book viewings directly on a match; feedback flows onto the schedule automatically.

  • Add comments against each match for the landlord's benefit, next action, viewing outcome, withdrawal reason. These become the body of your landlord report.


Share the schedule with your landlord

Three options, pick what suits:

  1. Download as PDF - polished, branded report, good for weekly email updates.

  2. Download as Excel - better for landlords who want to slice the data themselves.

  3. Present Mode - a clean presentable version of the schedule, ideal for screen sharing during meetings

  4. Invite to the Landlord Portal - free landlord account with a live view of the schedule. Eliminates version-control issues and lets landlords check in any time between your updates.


πŸ“Š Quick Start (2 minutes)

  1. Open the disposal and click Interest Schedule.

  2. Review any unqualified enquiries in Inbounds β€” approve onto the schedule or archive.

  3. Update comments on each match (the comment field is what your landlord will actually read).

  4. Click Share β†’ choose PDF, Excel, or invite to the Landlord Portal by adding their email into the box and hitting share.


πŸ’‘ Common mistakes and pro tips

  • Update comments before, not after, your landlord call. The schedule itself becomes your agenda.

  • Use the Landlord Portal for active instructions. Gives the landlord a live view, cuts out PDF/Excel iterations, and they see updates the moment you make them (unless you choose the sync option on share frequency).

  • Book viewings on the match, not as standalone diary entries. Feedback then flows onto the schedule automatically and into the report.

  • Bulk-archive dead matches at the end of each reporting cycle to keep the live view tidy. Bulk archiving is available in the schedule actions menu.

Does my landlord need a Kato licence to use the Landlord Portal? No, the Landlord Portal is a free, separate login for landlord clients. They log in at their own landlord-facing URL and see only the disposals you've invited them to.

Can I white-label the PDF report with my agency branding? Yes, PDF templates are branded per agency and can be customised.

How do I stop a landlord seeing confidential content? Confidentiality settings on the disposal and on individual matches control what's visible in the Portal and in reports.
