Handle inbound enquiries on your disposal, qualifying them, controlling what reaches your interest schedule, and messaging the other agent where needed.
โ Why
Not all interest is created equal. An unfiltered stream of low-quality or speculative enquiries clutters your interest schedule, undermines landlord trust, and slows real deals down. Kato's Inbounds workflow puts you back in control, qualify before you track, archive low-quality enquiries out of sight, and keep your schedule clean for reporting.
๐ Where enquiries come from
Your disposal can receive inbound interest from three sources:
Society matches - other agents sending match requests from the Agents Society
Third-party property portals - Rightmove, Zoopla, EG, Novaloca and any other feeds you're connected to
Direct agency enquiries - your team logging new applicant interest manually
Unless you change your settings, none of the above will automatically land on your interest schedule. They all flow into Inbounds first, where you qualify them before approving onto the schedule.
Qualify inbound enquiries
Open the disposal, go to the Interest Schedule, and look at the Inbounds column.
Approve - moves the enquiry onto your active interest schedule.
Archive - removes the enquiry from view. Archived inbounds never appear on the schedule; they are invisible by design rather than shown as discounted.
Message the agent - agent-to-agent messaging lets you clarify criteria or request more detail before approving, without cluttering the schedule.
Filter and search - use smart filters to find, group and qualify inbounds quickly.
๐ Quick Start (2 minutes)
Open the disposal and click the Interest Schedule tab.
Review new enquiries in the Inbounds column.
For each enquiry, approve onto the schedule, archive if not credible, or message the agent to clarify.
Move approved enquiries into the appropriate schedule column for reporting.
๐ก Common mistakes and pro tips
Archive rather than ignore. Low-quality enquiries stay in your Inbounds view until you action them โ archive to clear the queue.
Use agent-to-agent messaging. A quick message such as "size too big, what else can you offer" keeps communication on-record and avoids cluttering the schedule with speculative matches.
Your Inbounds are private. On joint-agent disposals, each agent has their own private Inbounds view โ you don't see the other firm's unqualified flow, and they don't see yours.
Archived is not the same as discounted. Archived inbounds never appear on the schedule or in reports โ they are genuinely out of sight, not just filtered.

Can I bulk-approve inbounds? Yes, use the filters plus select-all to qualify groups at once.
What happens if I archive an enquiry by mistake? Archived inbounds can be restored from the Archived filter on the Inbounds view.
Does the enquirer get notified when I approve or archive? No, approval or archive is your internal decision. If you want to communicate with the agent, use agent-to-agent messaging.
