🎯 Goal
Respond to a circulated society requirement by sending match requests, with your own published disposals that fit the brief, directly to the tenant rep, with everything logged against your Interest Schedule. Inbound enquiries from acquisition agents are also held in your interest schedule inbox for you to qualify before adding to the schedule.
❓ Why
Sending match requests through Kato is faster than emailing PDFs and meaningfully better for the tenant rep: your disposals drop into their availability schedule automatically, in the format they work with. When you send a match request, the tenant rep's requirement also drops onto each property's Interest Schedule, so your landlord report captures the demand you've generated, not just the properties you've promoted.
🔍 Overview
You'll discover circulated requirements two ways: via email (from notifications@agents-society.com, typically with a subject starting "→ Looking for…"), or via your Society Dashboard. Open the requirement, click Match my disposals, select the properties to send, write a personal message, and send.
Inbound acquisition agent matches will also land in your interest schedule inbox as below:
📊 Step-by-step
1. Open the circulated requirement
From email — click through from the notification email.
From dashboard — click your society → Society Requirements → open the listing.
2. Click "Match my disposals"
Kato shows your published disposals that match the requirement's criteria.
3. Select properties to send
Auto-match list — Kato's suggested properties. Select all or cherry-pick.
Manual search — type a property name or address if you know of one that fits but isn't in the auto-list (useful for curve-ball or creative suggestions).
4. Add a personal message
Why these properties? Anything notable about availability, fit-out, timing, or rent-free? A short contextual note wins higher engagement from the tenant rep than a cold list.
5. Click Send Match Request
The tenant rep is notified immediately in-app and by email. The requirement drops onto each property's Interest Schedule (Outbounds column from your side).
🎯Managing inbounds from acquisition agents in your society
Overview:
If a tenant rep agent selects one of your properties for their requirements long or shortlists, you will receive an inbound within your interest schedule Inbox. From here you can qualify the inquiry to establish if it is an appropriate match before adding to your schedule.
Auto add inbound matches:
If you want to automatically add inbound matches to your interest schedule, you can set this preference within your disposals Interest Schedule Settings,
✅ You've done it when…
The match request shows as sent, the requirement appears on your disposal's Interest Schedule as an outbound, and the tenant rep has been notified.

💡 Common mistakes & pro tips
Only published disposals can be sent. If a property you want to suggest isn't in the match list, check it's published to your society.
Adjust notifications to filter signal. Set preferences so you only get circulars matching your published size/location ranges — saves inbox noise.
Sending via Kato beats email. Emailed PDFs don't drop into the tenant rep's availability schedule — so they're less likely to make it onto the client report. Every minute you save the tenant rep is goodwill.
Use the curve-ball option. Manually search for a property that doesn't quite match the criteria but might interest the applicant. These suggestions land well because they show you know the market.
