How to log a deal (from a disposal)

🎯 Goal

Log a completed deal from a disposal, capturing tenant or purchaser, deal terms, incentives, and heads of terms, so the transaction flows into your agency's pipeline, Atlas contribution and Agency Insights reporting.

❓ Why

Logging deals promptly is essential for lease-renewal workflows, comparables, and market-data contribution. A transaction that lives only in email or spreadsheets makes future work harder, when the landlord calls about a review five years on, the next agent on the account is rebuilding context from scratch. You can log a deal in two places:

  • From a disposal β€” when your own instruction has let or sold

  • From a requirement β€” when your applicant has acquired a property (including elsewhere)

Both flows end up in the same Transactions section for reporting.


Log a deal from a disposal

Open the disposal, click Actions in the top right, and choose either Record Letting or Record Sale.

Add the tenant or purchaser. If they're already on your schedule, click the button to see a list of interest schedule entries β€” selecting one links the tenant details automatically. If they're not, you can continue and add their details to the transaction later.

Select the space taken β€” individual floors/units or the whole disposal. Then enter the headline deal details, including:

  • Rent or capital value

  • Lease term and key dates

  • Incentives (rent-free period, capital contribution)

  • Net effective rent

  • Confidentiality / NDA status

  • Heads of terms file upload

Confirm where to unpublish from. Choose whether to archive the whole disposal or just the floors/units that have let.


Log a deal from a requirement

For tenant-rep deals, open the requirement, click Actions, and choose Complete requirement.

If the property they acquired is on your match schedule, select it directly. If not, enter the size and property details manually, you can associate a full property record after the transaction is created. Once completed, you can layer intel on the transaction.

If the requirement has completed on a property you weren't acting on, archive it so that your active requirement list stays clean.

  1. From the disposal (or requirement), click Actions and choose the relevant record-deal option.

  2. Link the tenant/purchaser from your schedule, or add manually.

  3. Enter headline deal details, incentives, and upload HoTs.

  4. Confirm whether to archive the whole disposal or just individual floors/units.

  5. Save β€” the transaction feeds into your Work in Progress and reporting.

πŸ’‘ Common mistakes and pro tips

  • Don't archive the whole disposal if only one floor has let. Archive the individual floor/unit so the remaining space stays on marketing.

  • Capture net effective rent, not just headline. Your ranking and Atlas contributions depend on it.

  • Mark confidentiality correctly. If the deal is under NDA, tick the confidentiality flag, it controls whether the record flows to Atlas.

  • Add lease event reminders on the transaction so rent reviews, breaks and expiries surface well ahead of time for follow-on business.

  • All archived requirements stay accessible. Use the status filter in the Requirements hub to see completed and archived records when you need them.
