🎯 Goal
Log a completed deal against a requirement; when your applicant has transacted, whether on a property on your schedule or elsewhere; so your pipeline, rankings and market intel all reflect the close.
We have created a quick start video guide on logging transactions here.
❓ Why
Tenant-rep deals don't always complete on properties you introduced. Capturing both scenarios; completed-on-schedule and completed-elsewhere; gives your agency accurate WIP reporting, rankings contribution, and a real record of applicant outcomes for future relationship management.
🔍 Overview
Two common scenarios:
Completed on your schedule — the applicant took one of the properties you introduced. Full transaction record created.
Completed elsewhere — the applicant transacted but not on a property you matched. You can still mark the requirement completed and optionally capture intel.
📊 Step-by-step
Complete a requirement that transacted on your schedule
Open the requirement.
Click Actions in the top right → Complete.
Select the property from your Match Schedule that the applicant transacted on.
Fill in headline terms: rent or capital value, lease term, key dates, incentives.
Add heads of terms, condition at close, and any rent-free / capital contribution.
Save. The transaction appears in your Transactions section, Work-in-Progress updates, and the requirement is marked Completed.
Complete a requirement that transacted elsewhere
Open the requirement → Actions → Complete requirement.
Select the option for a property not on the schedule.
Enter the property address, size, and what you know of the deal terms (treat this as market intel).
Save. You can associate property details more fully at a later date.
Once either is done, you can archive the requirement so your active requirements list stays focused.
✅ You've done it when…
The transaction appears in your Transactions section with status Completed, the requirement shows as Completed, and if applicable the disposal agent sees the transaction link on their record too.
💡 Common mistakes & pro tips
Capture intel on completed-elsewhere deals. Even a rough "they took 12,000 sq ft at Tower 42, net effective around £65" adds to your market intelligence and informs future advisory work.
Net effective rent matters. Agency rankings and Atlas comparables depend on it, not just headline.
Layer intel on the transaction. Once a requirement is completed, you can add further detail to the transaction record — broker fees, source, condition, confidentiality.
Archived requirements can still be accessed. Use the status filter in the requirement hub to pull them up if you need to revisit.
