Step 7: Closing off Transactions

Written by Max Kemplen

🎯 Goal

Log a lease or sale transaction on Kato, capturing deal terms, incentives and HoTs, so the disposal closes cleanly and the record feeds your agency's pipeline and rankings reporting.

❓ Why

A completed transaction is the end of one workflow and the start of several others, Work-in-Progress reporting, Atlas contribution and Agency Insights. Logging it properly at close means you don't waste time rebuilding the story weeks later, and your agency's market data stays current.

🔍 What's covered

  • Recording lease and sale transaction details

  • Adding key deal information: rent, dates, terms

  • Including incentives and heads-of-terms files

  • Archiving disposals or individual floors/units

  • Reviewing and managing transaction records

📊 Quick Start (2 minutes)

  1. From the disposal (or the root of the Transactions section), click Log transaction.

  2. Select Letting, Investment Sale, or Occupational Sale.

  3. Enter tenant/purchaser, rent or capital value, lease term, and key dates.

  4. Add incentives (rent-free, capital contribution), and upload the signed HoTs if you have them.

  5. Confirm whether to archive the whole disposal or just specific floor/unit(s).

  6. Save the transaction now flows into your Work-in-Progress and Agency Insights reporting.

💡 Common mistakes & pro tips

  • Don't archive the whole disposal if only one floor has let, archive the individual floor/unit so the remaining space stays active on marketing.

  • Mark confidentiality correctly. If the deal is under NDA, tick the confidentiality flag, it controls whether the record flows to Atlas.

  • Capture net effective rent as well as headline, your ranking and market-data contributions depend on it.

  • Add lease event reminders on the transaction so rent reviews and breaks surface ahead of time for follow-on business.
