Publishing when Closing Off instructions

Data at source - How to close off disposals and requirements

Written by James Allman

Goal

Enable users to publish lettings and sales to Atlas directly as part of the disposal or requirement close-out workflow.

Why

Integrating Atlas publishing into the disposal or acquisition close-out process streamlines data entry, reduces duplication, and ensures completed deals are published with the correct information at the right time.

Publish to Atlas when closing out disposals and requirements

Once onboarded, Kato users can seamlessly publish their transactions to Atlas as part of the standard workflow for closing out live disposals and requirements.

The steps below outline how to close out a disposal and publish your transaction to Atlas.

(The requirements process follows the same pattern, with only small differences.)

1. Open the disposal

Go to your Disposals tab and select the disposal where a transaction has just been completed.

2(a). Recording a transaction from the interest schedule

  1. Navigate to the interest schedule page of a disposal

  2. Find the line of interest that has transacted

  3. Change the status to signed

  4. This will automatically open the transaction form

2(b). Recording a transaction if you do not use the interest schedule

When the entire disposal is complete (all floors or units have been let or sold):

  1. Click the Actions dropdown in the top right

  2. Select Record a lease or Record a sale

When only part of the disposal is complete (only some floors or units have been let or sold):

  1. Go to the Availability tab

  2. Open the Define the Space table

  3. Use the Status dropdown on the relevant space

  4. Choose Record a lease or Record a sale

3. Complete the close-out form

A close-out form will appear.

This is the regular form, with a few additional fields to bring all data entry into one place.

Enter the relevant letting or sale information.

4. Save or Save & Publish

Once the details are completed, Save or Save & Publish to Atlas. This will bring you to the publishing options.

5. Set privacy preferences

You can choose which fields are shared with Atlas.
Use Hide data only where the information is confidential or covered by an NDA.

Mandatory fields must remain visible for publishing.

6. Finalise and publish

Click Save Transaction & Publish to Atlas.
Your transaction will be published to Atlas, and you will have the option to select View Transaction to add any additional information.
