How to publish a sales record to Atlas

Written by Max Kemplen

🎯 Goal

Publish a completed sale from Kato to Atlas, contributing to the market dataset, unlocking your access to everyone else's sales, and making your agency eligible for Atlas Rankings.

❓ Why

Sales are the highest-value comparable data in CRE, and the hardest to find. Atlas's data-at-source model means the moment you publish, your sale is visible to peers; the moment they publish, you see theirs. Publishing is the cost of access.

πŸ” Overview

Two ways to publish: at close-out (one flow), or retrospectively from the Atlas Publishing tab within Sales for existing records.

πŸ“Š Route A β€” Publish at close-out

  1. Follow the close-out flow.

  2. Click Save Transaction & Publish to Atlas.

  3. Set privacy preferences β€” Hide data only for fields under NDA.

  4. Confirm. Live on Atlas immediately.

πŸ“Š Route B β€” Publish existing sales from Atlas Publishing tab

  1. Open Sales β†’ Atlas Publishing tab.

  2. Navigate the four saved views: Ready to publish / Not ready / Published Not on Rankings / Published On Rankings.

  3. From Ready to publish, open a sale. Check Headline Details and Atlas ranking information.

  4. Click Publish. Set privacy. Confirm.

Bulk publish: Tick checkboxes on multiple ready records and use the bulk publish option. Review data quality first.

πŸ“Š Required fields β€” headline details

  • Address

  • Property type

  • Transaction date

  • Our Acquisition / Our Disposal designation

πŸ“Š Confidential transactions

  • Confidential / Under NDA: visible to your organisation only, not other Atlas users.

  • Internally confidential: visible only to you and deal colleagues.

  • Selective hide: publish but hide specific fields. Use sparingly.

If acknowledging the deal's existence would breach NDA, don't publish.

βœ… You've done it when…

The sale shows as Published on Atlas and ideally ranks under Published – On Rankings.

πŸ’‘ Common mistakes & pro tips

  • Sales benefit most from timely publishing. Because sales data is so scarce, being the first agency to publish a comparable gets your firm noticed.

  • Confidential β‰  unpublishable. Most NDA deals can still be internally visible; mark them rather than skipping publish.

  • Use the Published β€” Not on Rankings view quarterly. Adding tenure, price, size, and agent names to already-published records is a quick rankings win.

  • Investment sales rank separately from owner-occupier. Get the designation right or the sale lands in the wrong leaderboard.
