User Management for Organisation Administrators

Manage user accounts within your company as an Organisation Administrator using Kato

The Organisation Administrator position is designed to give you more control over managing users and subscriptions for your organisation on Kato.

As an organisation admin, you can:

  • Edit user profile details (Name, Contact info, Profile image)

  • Reassign Requirements and Disposals between users

  • Manage, reallocate or remove society, Pro and Atlas subscriptions

  • Add new users to your organisation

  • Switch users between offices

  • Purchase additional society subscriptions

  • Access and download all society invoices

  • Export reports on users and subscriptions


How do I access my Organisation settings?

If you're an admin user for your organisation, you’ll notice a new look and additional capabilities in your account settings:


Edit user profile details (Name, Contact info, Profile image)

Edit a user's profile details by clicking edit within the profile section of the panel to update a user's name, mobile, email, phone number or profile image:


Need to reassign Requirements and or Disposals between users?

Particularly useful if a user is leaving a team/organisation or their role is changing.

All requirements and disposals connected to a user can be reassigned to another person in your organisation using the actions menu. The change will reflect straight away within the Kato app and overnight for places like portals & websites where the data is published.

Why are record transfers needed when closing a user account?

In Kato, every record must have an owner. This ensures:

  • Filters work correctly

  • Workflows and reporting remain accurate

  • Marketing content always has at least one point of contact associated with it

Before a user account is closed, any records they own must be transferred to another active user.


Manage, reallocate or remove Society, Pro and Atlas subscriptions

Gain full control of society memberships - purchase seats, assign them to users, and track it all seamlessly. Each society requires a separate membership seat, meaning users needing access to multiple societies, such as IAS and OAS, will require a dedicated seat for each.

To assign a Society subscription seat:

  1. Go to the relevant society.

  2. Click ‘Assign Seat’ (only possible if you have available seats).

  3. Search for the user by name or email.

  4. Select and assign the seat.

  5. The user will automatically receive an email to log in.

    To assign a Pro or Atlas license seat:

    1. To add or remove a Pro or Atlas seat, you can toggle this within the User Management tab. If you have reached the limit of your existing seat allowance, you can purchase more through contacting your Organisation's Kato account manager or by emailing Help@kato.app

To remove a user from a seat:

  1. Search for the user.

  2. Hover over their row and click the ‘X’ on the right-hand side.

  3. Confirm removal.


Switching users between offices

In the event that a user moves offices or team, you can adjust their profile to reflect the change.


How to purchase additional Society seats when you reach your subscription limit:

  1. Go to the relevant society.

  2. Click ‘Buy Seats’.

  3. Select the number of seats.

  4. Enter your payment details under ‘Pay Now’.

  5. Download your receipt once the transaction is complete.

  6. Assign the new seats using the steps above.


Adding new users

Easily search for existing users, add new colleagues to Kato, or export the full user list for external reporting.

  1. Click ‘Add User’.

  2. Fill in all required fields.

  3. Once created, you can:

    • Upgrade them to PRO or Atlas by assigning them a seat (described above)

    • Assign them a society subscription directly (see above)


Need to export your user list? Click the ‘Download’ button for an Excel copy that includes subscription details.


Invoices

Access and manage all billing documentation from one place.

From here, you can:

  • Download invoices and receipts

  • Export invoice data

  • Pay outstanding or overdue invoices

To download a receipt or past invoice, click on the respective ‘Paid’ entry to view and download it directly from the payment portal.
