How to export your Work in Progress

🎯 Goal

Export your Work in Progress, as a spreadsheet or document, for team reviews, board packs, monthly reporting, or sharing with colleagues who don't have Kato access.

❓ Why

A live WIP view in Kato is brilliant for your day-to-day, but there are moments when an offline snapshot is what you need, a monthly leadership review, a client-facing pipeline summary, or an email to a colleague who doesn't live in the system.

🔍 Overview

Filter your WIP to the cohort you want, then export as a spreadsheet (CSV / Excel) or a formatted document. Kato exports what's in your current view, so get the filters right first.


📊 Step-by-step

  1. Open your Work in Progress view

  2. Click the download button

  3. Apply filters to get the cohort you want (team / region / stage / time frame).

  4. Choose the format:

    • Spreadsheet (CSV / Excel) — for analysis, pivot, and offline review

    • Document — for a formatted summary you can share or print

  5. Download.

You have the WIP export saved locally — a point-in-time snapshot ready for offline review or sharing.

💡 Common mistakes & pro tips

  • Filter first, export second. "Team WIP" with 400 rows isn't a report, it's wallpaper.

  • Useful exports to run regularly: "Monthly board pack, all Signed/Lawyers stage", "Team WIP with last-update column for Friday review", "My active deals for client sync".

  • Exports are snapshots, not live data. A week-old WIP export is already stale.

  • Name the file sensibly before emailing. "WIP_Sept2025_Team_Leasing.xlsx" beats "export (3).xlsx".

  • For client-facing pipeline summaries, consider Kato's Interest Schedule or Reporting features instead of a raw WIP export, they're formatted for clients.
