🎯 Goal
Export your task list out of Kato as a spreadsheet, for offline review, sharing with colleagues who don't have Kato access, or including in team performance reporting.
❓ Why
Most day-to-day task management happens in Kato. But there are moments, board packs, team reviews, handover to a holiday cover, when an offline spreadsheet is what you need. Export takes seconds and captures whatever cohort your filters have selected.
🔍 Overview
From the Tasks section, filter to the cohort you want (by assignee, type, status, or date range), then export. Kato exports exactly what's in view, so filter before exporting.
📊 Step-by-step
Click Tasks in the left nav.
Switch to list view (calendar view doesn't export).
Apply filters, assignee, task type, status (Open / Complete / Overdue), date range.
Click the export option (usually via the Actions menu or download icon).
Choose Excel format.
File downloads to your local machine.
✅ You've done it when…
You have a spreadsheet of the task cohort you filtered for, saved locally and ready to review, share, or analyse.
💡 Common mistakes & pro tips
Filter first, export second. Exporting 2,000 tasks when you needed 30 isn't useful. Filter deliberately.
Useful exports: "My overdue tasks", "Team's completed tasks this week", "All disposal-related tasks for a landlord review".
Exports are a snapshot. A week-old export is already stale, Kato's live view is the source of truth.
Sensitive contact info may appear in linked task data. Handle exports with appropriate care if sharing externally.
