How to download lease records

🎯 Goal

Export your lease records out of Kato, as a spreadsheet or a comp schedule, for client reports, offline analysis, team reviews, or valuation work.

❓ Why

Lease data in Kato is your agency's most valuable asset after its people. Being able to pull a comp schedule, a benchmark report, or a team performance extract in seconds turns that asset into client-facing value.

🔍 Overview

Two export routes: export a filtered list as a spreadsheet (CSV / Excel) for analysis, or export a selected set of leases as a Comp Schedule report (for sharing with clients).


📊 Route A — Export as spreadsheet

  1. Open Leases.

  2. Apply filters to get the cohort you want.

  3. Use the download option to export as CSV or Excel.

  4. Kato exports exactly what's in view — so filter deliberately first.


📊 Route B — Export as a Comp Schedule

  1. Open a lease record.

  2. Click Export Comp.

  3. Download the comp document.

  4. Repeat for additional records to build a multi-property comparison.

For a more structured comp schedule, use the Comp Schedule feature from a disposal — you can include your own transactions plus marketplace availability in one schedule.

You have the export (spreadsheet or comp schedule) saved locally and ready to share, analyse, or include in a client report.

💡 Common mistakes & pro tips

  • Filter first, export second. "All leases ever" is rarely what you want.

  • The more data in each lease record, the better the comp. A lease with just address and rent is weak evidence; a lease with rent-free, ITZA, fit-out contribution, and break details is strong.

  • Check confidentiality before sharing. If your export includes a lease marked confidential or under NDA, strip it before sending externally.

  • For client comp schedules, use Kato's Comp Schedule feature from a disposal rather than exporting raw leases. It's formatted for clients.

  • Exports are snapshots. Don't treat a week-old export as current data — return to Kato for the live version.
