How to Search, Sort and Filter your CRM

Find the company or contact you need in your CRM fast, whether it's a specific record, a segment of records, or an intersection of criteria you'll want to action in bulk.

Choose Companies or Contacts

From CRM, pick the Companies or Contacts tab based on what you're looking for.

Search

Type a company name, contact name, email, or phone number. Kato matches partial strings as you type.

Apply filters

The most useful filters:

  • Sector β€” Tech / Legal / Retail / Financial / etc.

  • Role β€” Landlord / Tenant / Agent / Developer

  • Marketing list membership β€” isolate everyone on a specific list

  • Group β€” your custom segmentation layer

  • Marketing Opt In / GDPR status β€” critical before any bulk email

  • Last activity date β€” spot stale relationships or recently-active ones

  • Location β€” address, city, country

Sort

Click a column header to sort by it β€” company name (A–Z), last activity, date created, etc.

Combine

Filters stack. "Role = Tenant + Sector = Tech + Last activity > 90 days ago" gives you every tech occupier you haven't touched in a quarter.

You have the precise cohort on screen β€” not too many, not too few β€” ready to export, email, or add to a campaign.

πŸ’‘ Common mistakes & pro tips

  • Filter by GDPR before any bulk action. Marketing Opt In = Yes and GDPR Consent = Yes before you export for a campaign. Otherwise you're exposing your firm.

  • Save the filter as a view if you'll run this search repeatedly.

  • Use Last Activity for hygiene sweeps. "Last activity > 2 years" surfaces records worth archiving or re-engaging.

  • Search by email domain to find everyone at one firm when the company record is out of date.
