How to create a company record

🎯 Goal

Add a company record to your Kato CRM, the organisation that owns the contacts, landlord relationships, occupier briefs and deal history you'll work from.

❓ Why

Companies are the anchor record in Kato's CRM. Contacts belong to companies, requirements and disposals link to companies, and every transaction rolls up to a company. Getting the company record right once saves constant re-linking later.

You can create a company either directly from CRM, or on the fly when linking a new company to a disposal, requirement, or contact. Creating directly is cleanest when setting up bulk records; on-the-fly is faster inside a workflow.


πŸ“Š Step-by-step

1. Start a new company record

Click CRM in the left nav β†’ Companies β†’ Create New in the top-right from anywhere and choose Company.

2. Fill the core fields

  • Company name β€” use the trading name, not the Companies House name unless they're the same.

  • Sector β€” drives segmentation and filters across Kato (Tech, Legal, Retail, Financial, etc.).

  • Role β€” Landlord, Tenant, Agent, Developer, Other. Informs how the company surfaces in filters and reports.

  • Registered address & HQ

  • Website & phone

3. Group or tag

Add the company to any custom CRM groups you use (e.g. "Target landlords 2026", "Tech occupier watchlist"). Groups are your high-level segmentation layer.

4. Save

Save. You can now add contacts against the company, or link existing disposals/requirements.

The company appears in your Companies list with its sector and role populated, and you're ready to add contacts or link records.

πŸ’‘ Common mistakes & pro tips

  • Check for duplicates before creating. Kato will warn if a company with the same name already exists. Take the warning β€” duplicate company records fragment history.

  • Sector matters. Demand Insights, rankings, and segmentation all depend on it. Don't leave blank.

  • Use one record per trading entity, not one per office or subsidiary β€” unless you genuinely work them as separate relationships.

  • Tag landlords distinctly from tenants. The Role field lets you segment by relationship type in reports and lists.
