How to create a contact record

🎯 Goal

Add a contact record to your Kato CRM, the individual person you deal with at a client or target company, with the information and preferences needed for compliant, effective communication.

❓ Why

Contacts drive day-to-day relationship management: who you email, who you book viewings with, who owns the occupier requirement. A well-captured contact record includes GDPR preferences (critical for marketing), role at company, and notes that travel with the person across deals and years.

🔍 Overview

Contacts always belong to a company. You can create a contact directly from CRM, from a company record, or on the fly when creating a requirement, disposal, or viewing.


📊 Step-by-step

1. Start a new contact

From CRMContactsCreate New. Or from an open company record, click + Add Contact.

2. Link to a company

Search for the company and link. If the company doesn't exist, create it on the fly, but prefer creating the company record properly first.

3. Fill core details

  • Forename and surname

  • Job title

  • Email, mobile, office phone (at least one channel is needed)

4. Set GDPR preferences

  • Marketing Opt In — Yes/No

  • GDPR: Consent Given — Yes/No, with source of consent

These drive whether the contact can be included in marketing campaigns, society circulations, and bulk email lists.

5. Add to marketing lists and tags

Add the contact to any relevant marketing lists (e.g. "Legal occupier watchlist", "London landlords newsletter") and apply tags as needed.

6. Save

Save. The contact appears on the company's record and in the global Contacts list.


✅ You've done it when…

The contact is linked to their company, has at least one contact channel, GDPR preferences are set, and they appear in your Contacts list.

💡 Common mistakes & pro tips

  • GDPR matters more than it feels. Leaving Marketing Opt In or Consent Given blank is the quickest way to end up with ICO issues. Set both explicitly.

  • Note the source of consent. "Met at MIPIM 2026", "Requested brochure via website" — captures the basis for marketing.

  • Don't reuse old contacts when people move firms. Create a new contact at the new company; archive the old one. Clean history wins.

  • Mobile beats office phone for most tenant-rep work. Capture it where possible.
