How to add a disposal or requirement record to a company or contact

🎯 Goal

Link a disposal, requirement, viewing, or transaction to the right CRM records, company and contact, so every piece of deal activity connects back to the relationship it belongs to.

❓ Why

Records in Kato that aren't linked to CRM are orphaned: invisible on company and contact pages, missing from relationship reports, and impossible to roll up for client reviews. Linking deliberately, either at creation or retrospectively, turns deal activity into relationship intelligence.

🔍 Overview

There are two natural moments to link:

  • At creation when you create a disposal, requirement, or viewing, there's a field to link the associated company/contact. Use it.

  • Retrospectively from the disposal/requirement record, edit to add or change the linked company/contact. Or from the CRM record, use the Actions menu to link an existing record.


📊 Step-by-step

Link at creation (recommended)

When creating a new disposal, requirement, or viewing, use the Company and Contact fields to link from your CRM. Kato search-as-you-type will surface matches; create new records on the fly if needed.

Link retrospectively from the disposal/requirement

  1. Open the disposal or requirement.

  2. Click Edit.

  3. In the Company or Contact field, search and link.

  4. Save.

Link from the CRM record

  1. Open the company or contact in CRM.

  2. Click Actions → choose Add Requirement, Add Disposal, Add Viewing (whichever you need).

  3. Either create new (the contact/company fields will pre-fill) or link to an existing record via search.

Verify the link

Open the CRM record and check the relevant tab (Disposals, Requirements, Viewings, Transactions). The linked record should appear.

The disposal or requirement appears on the associated company's and contact's record tabs, and the CRM search for that company surfaces all linked deal activity.

💡 Common mistakes & pro tips

  • Link to both company and contact where possible. Contact tells you the who; company tells you the what-firm. Both drive different reports.

  • Fix orphaned records as you spot them. If you open a requirement with no linked contact, take 10 seconds to link it.

  • For joint clients, link the primary contact. Add secondary contacts as needed but make one the lead.

  • When a contact moves firms, relink their in-progress requirements to their new contact record, don't leave them pointing at the old role.
