How to create a saved view of your CRM

🎯 Goal

Save the filter combination you use most often as a named view, so you can return to the same cohort in one click instead of rebuilding filters each time.

❓ Why

Rebuilding the same filter set every Monday morning is wasted time, and more importantly, it introduces variability: did I include last-activity this time, did I exclude the dormant segment? Saved views lock in the filter definition and make team-wide reporting consistent.

🔍 Overview

Build the filter, save it with a name, and return to it anytime from the CRM view picker. Saved views persist for you, some teams share them across users via admin settings.


📊 Step-by-step

  1. From CRM, pick Companies or Contacts.

  2. Apply all the filters you want in the view — sector, role, marketing list, group, GDPR, last activity, etc.

  3. Click Save View (top of the filter area).

  4. Name the view descriptively: "Tech occupiers, active last 90 days" rather than "View 3".

  5. Save.

Return to the view later

Open the view dropdown at the top of the CRM list and pick your saved view. All filters re-apply instantly.

Edit or delete a view

Open the view, adjust filters, and save — you can overwrite the existing view or save as new. Delete via the view list manager.

The view appears in your view dropdown with its descriptive name, and picking it from the list re-applies all the filters you saved.

💡 Common mistakes & pro tips

  • Name views for recognisability, not cleverness. "Q3 legal pitch list" beats "Legal pitch v2". You'll thank yourself in month two.

  • Views evolve. When a view stops being useful, delete it rather than tolerate clutter. A crowded view list is worse than no views.

  • Pair views with groups. A group is the membership; a view is the filtered cut. "Target landlords 2026" group + "Active last 30 days" filter = a useful weekly view.

  • Views don't include sort. Re-sort the view each time if ordering matters — or check if your admin has shared-view features that persist sort.
