πŸ“Š Step-by-step

1. Start the campaign from your disposal

Open the disposal. From Actions, pick either:

  • Email matching applicants β€” for targeted outreach to contacts whose requirements match this disposal (size, type, tenure, location)

  • Email a marketing list β€” for broader outreach to a pre-built list

2. Review and refine recipients

Kato shows you the matching recipients. Use filters to widen or narrow the audience β€” e.g. include inactive applicants, widen the search area, or drop specific contacts. This safety net lets you view and modify the recipient list before sending.

3. Select your template

Pick Single Property or Multi Property; then pick your template variant.

4. Compose your message

  • From β€” which user the email sends from

  • Subject β€” defaults from org settings, override for impact

  • Headings β€” Kato pre-fills; customise to your tone

  • Message body β€” customise. Keep short codes like [%first_name%] in place so personalisation still works at send

5. Preview and test

Click Preview to see how it looks. Click Send Test to send yourself, a colleague, or a client a test version. Catch typos, missing images, or formatting issues here β€” not after launch.

6. Send or schedule

Send immediately or schedule for later. Rule of thumb: Tue/Wed/Thu, 10am–2pm tends to yield the best open rates in CRE.

The campaign shows as Sent (or Scheduled) in your campaign list, and you've received your own copy (if you added yourself) or a test confirming delivery and formatting.

πŸ’‘ Common mistakes & pro tips

  • Always send a test first. The number of campaigns sent with a placeholder or broken image is non-trivial. 60 seconds of testing saves a reputational hit.

  • Name your campaign clearly. "147 Old St launch - v2 Oct 2025" beats "Campaign 14". Future-you reading analytics will thank you.

  • Respect GDPR. Kato only sends to contacts with marketing permission = Yes. If your list looks smaller than expected, that's probably why.

  • Don't over-send. Sending every applicant every new launch teaches them to ignore you. Be targeted.

  • Short codes matter. [%first_name%] staying in place is what makes personalisation land. Delete it and everyone gets "Dear ".

  • Marketing list upload is assisted. If you need a new list imported, send it to support@kato.app using Kato's loader format.
