Have I published my requirement

You'll know you've published your requirement to the society Keep an eye out for the Green cloud icon, which indicates that your requirement has been published to the society.

Export requirements from a search

If your account is limited to society access only, you won't have the ability to download requirement data. To perform this action, you need PRO access.

Here's how you can do it:

  1. Go to to the Society Acquisitions page.

  2. Use the the filters located at the top right to locate the specific search you need.

  3. Click on the "Actions" button at the top right corner.

  4. From the dropdown menu, select "Download Society Acquisitions."

By following these steps, you'll be able to download the required data.

Can people see my client's name on requirement

When working on a requirement, you have the option to include your client's name. This can be either as a reference under 'Project Name' or by linking them as a contact.

It's important to note that this reference is for internal use only and will not be displayed on the Society listing.

How do I make our acquisition confidential?

If you are doing tenant rep work, acquisitions can be made confidential using 'internal' reference instead of the tenant name when you are creating the acquisition.

If you are looking to make requirements confidential on an interest schedule, you can do this by clicking into a row of interest and adjusting the confidential settings at the top of the left hand slideout panel.

Automate duplicate requirements

We don't automate multiple inquiries from the same person in Kato because they may genuinely have separate requirements for space.

Here's our advice on handling multiple requirements:

  1. Review the multiple requirements from the same person.

  2. Determine if they share the same search criteria.

  3. Choose one requirement as the master record.

  4. Archive the other requirements.

  5. Update the search criteria on the existing requirement to cover everything the person is looking for.

Reinstate a requirement

To find properties or requirements that you have archived, you have two options:

  1. Use the text search at the top of the requirements page: This search bar bypasses any filters you have set and will display all requirements that match your search criteria.

  2. Use the Status filter to include the archived requirements: By adjusting this filter, you can view all the requirements, including the archived ones.

Once you have located the archived requirements, you can restore them to an active state.

How to create a favourite search location in Kato that comes up every time you create a new requirement

As a Kato Pro account holder, you can set up some favourite locations to add to your requirement search area. If you know the locations you want to draw reach out to your account manager or support team so we can get started.

How do I make target list?

In addition to marketing lists, Kato has the ability to tag records or, in the case of requirements, create lists.

Tags can be applied to disposals, leases, sales, and contacts. Using tags is the best way to group records and run reports by filtering on the relevant tags. Kato currently creates the tags for you, so let us know if you would like any created. For disposals and transactions, tags are applied in the edit location screen. For contacts, tags are applied at the bottom of the edit contact view.

For requirements, you can add them to a list, which similarly allows you to report on or filter by the clients included in that list.

First of all, you'd need to create names of your list. Then you can simply add a requirement to that list by clicking on the requirement, navigating to the intel tab and selecting the list. Lists can be created by going to the requirements page, selecting filters, and scrolling down the list until you see 'manage lists'.
