Book a viewing in Kato using the match panel within an existing requirement/disposal, or from the homepage when someone calls up wanting to view a property without a fully captured requirement.

Viewings stored in Kato automatically go into your diary, send calendar invites to you and the applicant, and feed into your team's viewing pipeline, meaning you can report back to clients quickly and colleagues see what's happening without asking. Viewings tracked in your head or a separate calendar lose all that.

Two common routes: from a requirement's match panel (when you've already captured the applicant and their search criteria), or straight from the homepage (a quick-hit viewing, Kato creates the requirement automatically behind the scenes).
π Step-by-step
Route A β from a requirement's match panel
Open the requirement. Go to its matches.
Click on the property you want to book a viewing for β the match panel opens.
Click Schedule a viewing.
Set the date, time, and any notes.
Adjust the assigned agent if someone else is conducting the viewing.
Save.
Kato creates the viewing, adds it to your diary, sends a calendar invite to you and the applicant, and updates the match status to Viewing.
Route B β from a Disposal Interst Schedule
Open the Disposal. Go to the interest schedule.
Click on the requirement you want to book a viewing for β the match panel opens.
Change the status to Viewing booked.
Set the date, time, and any notes.
Adjust the assigned agent if someone else is conducting the viewing.
Save.
Kato creates the viewing, adds it to your diary, sends a calendar invite to you, and updates the match status to Viewing.
Route C β from the homepage
Click Create New β Viewing on the homepage.
Enter the applicant's contact details.
Choose the property being viewed.
Set the date and time.
Save.
Kato creates a new requirement for the applicant behind the scenes, attaches the chosen property as a match, and sets the requirement's status to Viewing.
β You've done it whenβ¦
The viewing appears in your Kato diary, the applicant has received a calendar invite, and the match status reflects Viewing. Any joint agent or assigned colleague also sees it.
π‘ Common mistakes & pro tips
Use Route A whenever you already have a requirement β the match stays tied to the viewing, making follow-up and reporting cleaner. Use Route B only for cold "I just want to view it" walk-ins.
Double-check the agent assigned to the viewing if you're booking on someone else's behalf. Wrong-assignee viewings create confusion in the diary.
Add the applicant's phone number to the viewing. Saves time when they're late or lost.
For multi-property viewings, create separate viewings for each property β don't cram them into one.
