Step 2: Creating Requirements

🎯 Goal

Create a requirement in Kato, ready to start matching against disposals and tracking applicants, in under five minutes.


❓ Why

Requirements are how Kato tracks occupier demand, enquiries, acquisitions, market demand, and retained instructions. Well-structured requirements drive accurate matching, cleaner pipeline reporting, and a faster route to shortlisting properties for your clients.

📊 Quick Start (2 minutes)

  1. From the Kato homepage, click + Create in the top right and choose Requirement.

  2. Select the requirement type Acquisition, Enquiry, or Market Demand.

  3. Link the applicant company and contact (create them on the fly if they're not yet in your CRM).

  4. Enter size range, budget and use class.

  5. Draw or select the search area, and set any fit-out or single-floor preferences.

  6. Save your requirement will start surfacing matches immediately.

💡 Common mistakes & pro tips

  • Keep "Search" for active applicants only. Move everyone else to "On Hold", you can still email and match them, and your pipeline reporting stays meaningful.

  • Draw your search area. Drawn polygons give much sharper matches than radius-from-postcode for central London or mixed submarkets.

  • Set fit-out preference honestly. If the applicant will consider CAT A or fitted, mark both, blank preferences exclude matches rather than including them.

  • Use "Market Demand" for intel you want Kato to match against but aren't retained on. Keeps your Enquiries and Acquisitions lists clean.
