How to integrate your Kato Calendar with your personal calendar

Written by Max Kemplen

🎯 Goal

Sync your Kato viewings and tasks into your personal calendar, Outlook, Google Calendar, Apple Calendar, so you see everything in one place without switching between apps.

❓ Why

Your personal calendar is where you check "what's happening this week". Viewings and tasks stuck inside Kato don't make it into that view, so you miss them or double-book. Calendar sync brings Kato activity into your main calendar automatically, and vice versa, so your whole day is visible at a glance.

πŸ” Overview

Kato supports calendar integration for viewings (which already send calendar invites to attendees) and tasks. The most common sync method is via an iCal/ICS subscribe feed that your personal calendar app polls for updates.

πŸ“Š Step-by-step

Task calendar sync

  1. Go to Tasks β†’ Subscribe to Calendar.

  2. Copy the iCal/ICS feed URL Kato provides.

  3. In your personal calendar app (Outlook, Google Calendar, Apple Calendar), add a new calendar subscription and paste the URL.

  4. Your Kato tasks and diary items now appear in your personal calendar, refreshing periodically.

Syncing into Outlook

Outlook β†’ File β†’ Account Settings β†’ Internet Calendars β†’ Add the ICS URL from Kato.

Syncing into Google Calendar

Google Calendar β†’ Settings β†’ Add calendar β†’ From URL β†’ paste the ICS URL.

Syncing into Apple Calendar

File β†’ New Calendar Subscription β†’ paste the ICS URL.

βœ… You've done it when…

You can see your Kato viewings and tasks appearing in your personal calendar alongside your other meetings β€” same day, same time, same details.

πŸ’‘ Common mistakes & pro tips

  • ICS is one-way. Changes you make in Kato flow to your personal calendar, but changes you make in your personal calendar don't flow back into Kato. Update in Kato as the source of truth.

  • Refresh frequency varies. Apple and Google typically refresh ICS feeds every few hours; Outlook can be slower. If something's missing, wait before troubleshooting.

  • Keep the feed URL private. Anyone with the URL can see your calendar entries. Don't share or email it.

  • Viewing invites arrive at the attendees' inboxes. If clients complain they haven't seen a viewing, check the email wasn't filtered as spam.
