How to edit a society requirement

🎯 Goal

Update an existing requirement, including criteria, location, contacts, assigned agents, status, so matching, reporting and notifications stay accurate as the applicant's needs evolve.

❓ Why

Applicant requirements rarely stay static: size windows tighten, budget moves, a new submarket opens up. Keeping the requirement record current means Kato's match algorithm serves up relevant properties, and your landlord/occupier reports reflect the current brief, not the one you took three months ago.

🔍 Overview

  • Silent updates - edit criteria on the underlying requirement. Society listing updates automatically, members are not re-notified.

  • Recirculate - resend the mailer to members. Allowed once per fortnight.


📊 Step-by-step

Silent updates

Change criteria, location, sector, or reporting date - the society listing updates in place, no mailer.

Recirculate:

  1. Open the requirement → Search Criteria tab.

  2. Go to Society Publishing.

  3. Click Prepare Email & Recirculate.

  4. Kato shows the next allowable recirculation date (fortnight cadence).

  5. Update the subject and body to reflect what's changed.

  6. Confirm the society(s) and circulate.

The updated criteria show on the society listing, and (if you recirculated) members have received the refreshed mailer.

💡 Common mistakes & pro tips

  • Silent edits are usually enough. For minor criteria tweaks, don't recirculate — members will see the updated brief on their next visit to Society Requirements.

  • Recirculate when something material changes — budget up, location expanded, new use class. Give members a reason in the mailer.

  • Verify sector and reporting date. These are required fields, and editing them changes whether members in filtered views see the brief.
