Managing users for your organisation

Manage user accounts within your company as an Organisation Administrator using Kato

As an Organisation Administrator you have access and control over your users, their licences and your organisation setup and settings.

Additionally, administrators can manage billing and invoices, ensuring smooth financial operations for the organisation.

As an organisation admin, you can:

  • Edit user profile details (Name, Contact info, Profile image)

  • Reassign Requirements and Disposals between users

  • Manage, reallocate or remove society, Pro and Atlas subscriptions

  • Add new users to your organisation

  • Switch users between offices

  • Purchase additional society subscriptions

  • Access and download all society invoices

  • Export reports on users and subscriptions

Manage billing and invoices for society memberships and other organisational expenses.


How do I access my Organisation settings?

If you're an admin user for your organisation, you’ll notice a new look and additional capabilities in your account settings:


Edit user profile details (Name, Contact info, Profile image)

Edit a user's profile details by clicking edit within the profile section of the panel to update a user's name, mobile, email, phone number or profile image:

Note - Adding or updating a 'Position' (job title) is only available to each user within their own profile settings - https://os.agency.kato.app/settings/profile


Need to reassign Requirements and or Disposals between users?

Particularly useful if a user is leaving a team/organisation or their role is changing.

All requirements and disposals connected to a user can be reassigned to another person in your organisation using the actions menu. The change will reflect straight away within the Kato app and overnight for places like portals & websites where the data is published.

Why are record transfers needed when closing a user account?

In Kato, every record must have an owner. This ensures:

  • Filters work correctly

  • Workflows and reporting remain accurate

  • Marketing content always has at least one point of contact associated with it

Before a user account is closed, any records they own must be transferred to another active user.


Manage, reallocate or remove Society, Pro and Atlas subscriptions

Gain full control of society memberships - purchase seats, assign them to users, and track it all seamlessly. Each society requires a separate membership seat, meaning users needing access to multiple societies, such as IAS and OAS, will require a dedicated seat for each.

Memberships can also be transferred between users, ensuring flexibility in managing access as organisational needs change.

To assign a Pro or Atlas license seat:

1. To add or remove a Pro or Atlas seat, you can toggle this within the User Management tab. If you have reached the limit of your existing seat allowance, you can purchase more through contacting your Organisation's Kato account manager or by emailing Help@kato.app

Memberships are transferable and can be reassigned to other users as needed. Payments for society memberships are handled directly by the respective societies.

To remove a user from a society seat:

  • Search for the user.

  • Hover over their row and click the ‘X’ on the right-hand side.

  • Confirm they no longer need a society seat.


Switching users between offices

In the event that a user moves offices or team, you can adjust their profile to reflect the change.


Adding new users

Easily search for existing users, add new colleagues to Kato, or export the full user list for external reporting.

  • Click ‘Add User’.

  • Fill in all required fields.

  • Once created, you can:

  • Upgrade them to PRO or Atlas by assigning them a seat (described above)

  • Assign them a society subscription directly (see above)- Assign specific roles or permissions during the user creation process

  • Assign admin roles to new users during the creation process to enable them to manage memberships and billing.

Important to note: Organisation admins can only be assigned by Kato Support - if you need a user to be made an org admin or have org admin permissions removed from a user, please speak to help@kato.app.
