How to create a project

🎯 Goal

Create a project record in Kato for advisory, consultancy, or research work, capturing the client, scope, fee, and deliverables in one trackable record.

❓ Why

Advisory and consultancy work is real revenue that often falls outside the disposal/requirement model. Rent reviews, lease advisory, valuations, investment analysis, market research, and bespoke client work — all fit a "project" structure better than a disposal. Logging as a project gives you proper tracking, time management, and Work in Progress visibility.

🔍 Overview

Projects capture: client details, scope, fee structure, timeline, assigned agents, key deliverables, and completion state.


📊 Step-by-step

  1. Click Projects in the left-hand nav (or Advisory, depending on your agency's setup).

  2. Click + Create Project.

  3. Fill in:

    • Client company and contact

    • Project name and description

    • Project type (rent review / valuation / lease advisory / research / other)

    • Fee amount and basis (fixed / percentage / hourly)

    • Start date and expected completion

    • Assigned agent(s)

    • Property (if relevant)

  4. Save. The project appears in your Projects list and Work in Progress view.


✅ You've done it when…

The project is listed, assigned, and has a fee captured, tracked in Work in Progress alongside your other deal activity.

💡 Common mistakes & pro tips

  • Capture fee basis accurately. An hourly project with an "estimated £2k" is different from a fixed £2k; downstream reporting depends on it.

  • Add deliverables as tasks linked to the project for workflow tracking.

  • Link to the client company so the project surfaces on their relationship page.

  • Close out projects promptly once complete — don't leave them open indefinitely. Closed projects are still searchable but don't clog WIP.
