Organisation Settings: Manage Offices

🎯 Goal

Create offices, update an office's name, contact details, address, region and map coordinates, check users assigned to each office, and delete offices you no longer need.


❓ Why

Offices live at the organisation level and are referenced across user records, disposals and marketing outputs. Keeping office records accurate (especially address, region and coordinates) keeps your published feeds, brochures and microsites consistent across every team.

Who can use Offices

  • Available to agency organisations.

  • Organisation Admin access required.

  • Not available to non-agency organisations or non-admin users.

🔍 Overview

Offices has two areas:

  • Offices index - your office list. Search, sort, paginate, and create new.

  • Office detail page - main details, location details, assigned users, and the delete option.

When you create a new office, Kato takes you to the office detail page to finish adding details. Each office is managed separately - there are no bulk actions.


📊 Step-by-step

1. Open Offices

  • Go to Organisation Settings.

  • Select Offices from the sidebar.

2. Create a new office

  • From the Offices index, select Create new office.

  • Enter the required details: Office name, Address line 1, Town/City, Postcode.

  • Add optional address details if needed (Address line 2, Address line 3, Country).

  • Select Create office.

You'll move to the office detail page to add more details, such as phone number, website, email, region, latitude and longitude.

3. Edit main office details

  • From the Offices index, open the office you want to edit.

  • In Jump to, select Main (or scroll to the Main card).

  • Edit Name, Phone number, Website, Email or Display name.

  • Select Save changes.

Validation rules

  • Name is required.

  • Phone numbers can include digits, spaces, and these characters: + - ( ).

  • Email addresses must use a valid email format.

Use Customise display name if the office should appear with a different display name in published content.

4. Edit office location

  • In Jump to, select Location.

  • Edit address lines, Town/City, Postcode, Country, Region, Latitude or Longitude.

  • Select Save changes.

Latitude and longitude must use valid ranges when provided.

5. View users assigned to an office

  • In Jump to, select Users.

  • Review the users assigned. Use search and pagination if there are many.

  • In some organisations, selecting a user opens the user drawer.

6. Delete an office

Deleting an office is permanent.

  • In Jump to, select Delete Office.

  • Select Delete office.

  • Confirm the deletion, then select Confirm deletion.

You return to the Offices index once the office is deleted.


❓ Saving changes

The Save changes button becomes available when you change a field. Each card on the office detail page saves independently. If you try to leave with unsaved edits, Kato shows an Unsaved changes prompt - select Leave to discard, or Cancel to stay.

Issue

What to do

You cannot see Offices in Organisation Settings

Check that you're in an agency organisation and have Organisation Admin access.

You cannot create or save an office

Check required fields and fix any validation messages.

The email address will not save

Enter a valid email format.

The phone number will not save

Use only digits, spaces and + - ( ).

Latitude or longitude will not save

Check the values are within valid ranges.

A duplicate office name error appears

Use a unique office name.


✅ You've done it when…

  • The office appears in the Offices index with the correct name and location.

  • Each card on the office detail page displays the values you saved.

  • Assigned users show on the Users section.

  • Marketing outputs and publishing reflect the updated office details.

💡 Common mistakes & pro tips

  • Editing the office name without checking duplicates. Office names must be unique within your organisation.

  • Adding coordinates without verifying them. Bad latitudes or longitudes won't save.

  • Forgetting to save each card. Each card saves independently - one save doesn't cover the others.

  • Deleting an office still in use. Reassign users to a different office first.

  • Setting a custom display name and forgetting it's set. Clear it from the Main card to return to the default.
