🎯 Goal
Create teams, configure how each team handles enquiries, disposals, marketing and metrics, manage team membership, and delete teams you no longer need.
❓ Why
Teams give you a way to apply different defaults and routing across your agency without it bleeding into the wrong workflows. Each team can have its own settings for enquiry handling, disposal access, submarkets, building types, sectors, sources, marketing languages, metrics and follow-up reminders. Team-level settings can override organisation-level defaults where both exist.
Who can use Teams
Available to agency organisations.
Organisation Admin access required.
Not available to landlord organisations or non-admin users.
🔍 Overview
A team is a named group of users with its own configuration. Each team has a configuration page broken into sections (Team Details, Submarkets, Building Types, Sectors, Sources, Marketing Languages, Metrics, Follow-Up Reminder, Interest Schedule Settings, Users, Delete). Each section saves independently.
Team membership is managed via the user drawer. The Users section on the team page lets you view assigned users and open the drawer for a specific person.
📊 Step-by-step
1. Open Teams
Go to Organisation Settings
In the left navigation, go to Workspace
Select Teams
2. View or search teams
The Teams index shows each team's name, Primary user count and Secondary user count.
Use the search bar to find a team by name. Click a row to open that team's configuration page.
3. Create a team
From the Teams index, select Create new team
Enter a Team name (the only required field)
Select Create team
You'll move to the configuration page to add the team's settings.
4. Configure Team Details
Open the team's configuration page → Team Details
Update the team name, set the Default enquiry assignee, configure Disposal access restriction, add any Additional enquiry notification emails
Select Save changes
Default enquiry assignee
Option | What it does | When to use |
User and team of related disposal | Enquiries assigned based on the disposal the enquiry relates to. | When enquiry ownership should follow the disposal setup. |
Specific user | All inbound team enquiries go to one named user. | When one person owns incoming enquiries for the team. |
If you choose Specific user, you must select a user before you save. Only team members appear in the dropdown.
5. Configure Submarkets, Building Types, Sectors and Sources
For each section, open the team's configuration page, select the relevant options and click Save changes.
6. Configure Marketing Languages, Metrics, Follow-Up Reminder and Interest Schedule Settings
Each section follows the same pattern: open it, set the values, save.
Default Marketing Languages: Primary language + any preferred languages.
Default Metrics: Rent, Size and Charge metrics.
Default Follow-Up Reminder: Number of days before a follow-up reminder is triggered.
Interest Schedule Settings: The team's IS preferences.
7. View and manage team users
Open the team's configuration page → Users
Review users assigned to the team
Use search to find a user by name or email; filter by role if needed
Select a user row to open the user drawer and update their team assignment, role or profile
Each user is marked as Primary or Secondary in the team. New teams have no users until assigned through the user drawer.
8. Delete a team
Deleting a team is permanent and cannot be reversed. Reassign users who still need team access before deleting.
Open the team's configuration page → Delete Team
Select Delete Team
Review the confirmation message and select Delete
You return to the Teams index once the team is deleted.
❓ What your changes affect
Team settings can affect enquiry routing, disposal access, available options, default metrics, marketing defaults, notification segments and follow-up reminders.
❓ Troubleshooting
Issue | What to do |
You cannot see Teams in Organisation Settings | Check that you're in an agency organisation and have Organisation Admin access. |
You cannot create a team | Enter a team name, then select Create team again. |
You cannot save Team Details | Complete required fields - e.g. a user for Specific user enquiry assignment. |
A new team has no users | Assign users through the user drawer. |
You see an unsaved changes prompt | Save your changes before leaving, or discard them to leave. |
✅ You've done it when…
The team appears in the Teams index with the right Primary and Secondary user counts.
Each configuration section displays the values you saved.
Inbound enquiries route as expected based on Default enquiry assignee.
Team members see the building types, sectors and metrics you configured.
💡 Common mistakes & pro tips
Editing several sections before saving any. Each section saves independently - if you leave without saving, your work is lost.
Choosing Specific user without selecting a user. The system won't let you save until a user is chosen.
Deleting a team that still has users assigned. Reassign first - deletion is permanent.
Expecting organisation defaults to apply over team settings. Team-level settings override organisation-level defaults where both exist.
Assuming team membership is set on the team page. Membership is managed via the user drawer.
