How to store a Sale record

🎯 Goal

Create a sale record in Kato, capturing a completed sale or investment transaction as a single, searchable, reportable record that feeds your comp library, team rankings, and (if published) the wider Atlas platform.

❓ Why

Every completed sale is valuable evidence, for future valuations, for benchmarking, for Atlas Rankings, for client reporting. Storing sales at the moment of close-out means accuracy, completeness, and no re-keying later.

🔍 Overview

Two routes to store a sale:

  • From close-out of a live disposal or requirement — natural flow if you managed the deal through Kato

  • Direct via the Sales section — using Create forms for deals not tracked live in Kato


📊 Route A — Store from close-out

  1. Open the disposal or requirement.

  2. From the Interest Schedule, change the match to Signed — or from Actions pick Record a sale.

  3. Complete the close-out form (pre-filled where possible).

  4. Save, or Save & Publish to Atlas.


📊 Route B — Store via the Sales section

  1. Click Sales in the left-hand nav.

  2. Go to the All tab.

  3. Click Create New → select the sale option.

  4. Complete the Create Form.

  5. Save, or Save & Publish to Atlas.


📊 Required fields for publishing to Atlas

Headline Details: Address, Property type, Transaction date, Our Acquisition/Our Disposal designation.

Atlas Rankings eligibility (sales): Tenure, Purchase price, Total size, Your agent's name(s).

🗑️ Deleting a transaction

If you create a transaction in error, or just want to remove a transaction for any reason. You can do this within your account by heading to the Disposal, navigating to the Transactions tab, or slect the transaction from your Leases/Sales Section on the left-hand nav and select the transaction in question, then in the top right corner click 'Actions' > 'Delete'.


✅ You've done it when…

The sale appears in your Sales list, searchable and filterable. If published, it's also live on Atlas.

💡 Common mistakes & pro tips

  • Store at close-out, not later. Getting the record in while the details are fresh is the easiest way to get accurate data.

  • Tenure matters. Freehold, leasehold long, leasehold short — these change the comparable value meaningfully.

  • Distinguish investment sales from owner-occupier sales. The investment designation drives a different set of ranking and reporting logic.

  • NDA sales can still be stored in Kato and marked confidential — your internal reporting needs them even if Atlas can't see them.
