How to sort/search/filter Lease records

🎯 Goal

Find the lease records you need from across your agency's transaction history, for comp schedules, client pitches, ranking submissions, or internal analysis.

Your lease library grows fast. Good search and filter lets you answer questions like: "What have we let in EC1 above 10,000 sq ft in the last 12 months?" in seconds rather than minutes, and makes your team's data genuinely useful rather than just stored.

The Leases section supports free-text search, structured filters, sorting, and saved views. Pre-built saved views cover common cuts (Ready to publish / Published / Upcoming expiries / Upcoming breaks).


πŸ“Š Step-by-step

1. Open Leases

Click Leases in the left-hand nav.

2. Use default saved views

Kato ships with useful pre-built views:

  • Ready to publish β€” has all mandatory Atlas fields

  • Not ready to publish β€” missing mandatory fields

  • Published – Not on Rankings β€” headline-only, needs ranking fields

  • Published – On Rankings β€” fully qualified, visible on Atlas Rankings

  • Upcoming breaks / Upcoming expiries β€” lease event watchlists

3. Filter

Common useful filters: transaction date range, location, property type, size range, headline rent range, transaction type (new let / renewal / assignment / sublet), tenant company, agent name, lease end date, break date.

4. Search

Free-text search by address, tenant name, or reference.

5. Sort

Click any column header to sort β€” transaction date, rent, size, address.

You have the precise cohort of lease records on screen β€” ready to export, report on, or drill into.

πŸ’‘ Common mistakes & pro tips

  • Filter date by transaction date, not creation date. "Leases completed in 2025" means transaction date in 2025, even if created retroactively.

  • Use the Published β€” Not on Rankings view regularly. These are leases you've already published where a few extra fields would unlock ranking eligibility. Quick wins.

  • Upcoming breaks/expiries views are gold for Business development. Review monthly, action the ones worth a pitch.

  • Save a filtered view if you'll use it again.
