Marketing lists decay. Contacts change jobs, opt out, or bounce. Campaigns pile up. Actively managing this layer, not just firing one-off sends, is the difference between a well-kept database that gets 40% open rates and a stale one that gets 9%.
π Overview
This article covers three common management tasks: editing a marketing list (adding/removing contacts), viewing existing marketing lists in Kato, and finding past campaigns for reference or duplication.
π Editing a marketing list
Add a contact to a marketing list
Go to CRM β Contacts.
Open the contact.
Scroll to the Marketing List section of their record.
Select the marketing list you want to add them to.
Save.
Remove a contact from a marketing list
Same flow as above β open the contact, deselect the marketing list, save.
If the contact you want to add doesn't exist yet, create them first.
π Viewing marketing lists
From CRM β Contacts, apply the Marketing List filter to see all lists currently in Kato. Pick a list to view all the contacts in it. You can:
Edit any contact directly from the list view
Export the list as a spreadsheet for offline review
Check who's opted in/out before your next campaign
π Finding past campaigns
For a broad campaign list across your agency, use the Campaigns section of Kato (if applicable to your role). from there you will be able to see all the draft and previously sent campaigns. Clicking into a draft campaign will allow you to review and amend things before sending. Clicking into a sent campign will bring you t othe report page highlighting interesting and useful campaign performance data.
Data sets include:
Numbers Sent/ Opened/ Not Opened/ Bounced/ Clicks
The data related to each individual recipiant
From a disposal's Actions menu β Campaign Reports shows you every campaign sent for that disposal β Sent campaigns with their send date, recipient count, and summary stats.

Your marketing lists reflect current reality (no dead contacts, correct opt-ins), and you can find and reference any past campaign when planning the next one.
π‘ Common mistakes & pro tips
Run a list hygiene sweep quarterly. Bounces, opt-outs, job-movers. 30 minutes of maintenance keeps your list healthy.
New marketing lists are loaded by Kato support. Send the list to support@kato.app using Kato's loader format β verify it before the first campaign.
Contacts on a marketing list still need individual GDPR opt-in. List membership isn't consent. Consent is consent.
Don't delete old campaigns β the performance data is gold for benchmarking. Archive/ignore is fine.
Consistent list naming. "Q3 Tech Occupier Watch" beats three variants ("Tech occupiers Q3", "Q3 tech", "Tech outreach"). Clean names = clean analytics.
