1. Open the viewing
Find the viewing in your Diary or Viewings section, or open it from the requirement's match panel on your interest schedule.
2. Add the applicant's feedback
Use the feedback field on the viewing record. Be specific: rather than "interested", capture "loved the location, concerned about service charge, want to see figures for year 3".
3. Update the match status
Based on the feedback, move the match to the appropriate status:
Viewing completed - feedback has been received
Under Offer - applicant is ready to progress to an offer
Shortlist - still interested, keep active
Discounted - not progressing (capture the reason)
4. Share feedback with the landlord
Within the property's interest schedule, add a comment or update for the landlord capturing the key feedback. This flows through to the landlord's next report, no separate email needed.
5. Create follow-up tasks
If next steps are needed ("send service charge info", "arrange second viewing with their boss"), create a task from the viewing or requirement so nothing drops.

Capture feedback the same day. Memory fades; detail is where value is. Even voice-to-text from the drive/walk back.
"Not interested" isn't enough. Why not? Price, size, location, timing? That's the info that refines your next shortlist.
Don't forget the landlord. Even "no interest, rejected on size" is more useful to them than silence.
Rejected matches can be revived. A rejection today can become a revisit in 6 months when the applicant's brief shifts. Keep the feedback clean so future-you understands the context.
Positive feedback deserves momentum. Create the follow-up task immediately, offers don't land themselves.
