How to respond to match requests

🎯 Goal

Review and action match requests sent to you by disposal agents against your society-published requirements, approving credible matches onto your applicant's availability schedule and archiving the rest.

❓ Why

Match requests are high-signal inbound interest, disposal agents have already considered your brief and selected properties they think fit. But quality varies: some are precise, others are speculative. Qualifying these at the inbound stage means your availability schedule stays clean and your client sees only serious options.

🔍 Overview

Match requests arrive as inbounds on your requirement's Availability Schedule. You'll see them in an inbound/pending queue where you can review the property, message the disposal agent, and either approve the match onto your schedule or archive it.


📊 Step-by-step

1. See incoming match requests

You'll be notified by email (and in-app) when a disposal agent sends a match request. Open the requirement → Availability Schedule tab → Yellow Banner notifying you how many unactioned inbound match requests you have to 'Review Now'.

2. Review the proposed match

Click into the match request to see:

  • The property details (size, rent, location, tenure)

  • The disposal agent's message (why they think it fits)

  • Media, brochure, key points

3. Message if you need more info

Use agent-to-agent messaging on the request to ask follow-up questions — sustainability credentials, landlord flexibility, rent-free availability — before deciding.

4. Approve or archive

  • Add to availability schedule - the property moves onto your Availability Schedule as an active match, within longlist/shortlist and is visible when you share the schedule with your client.

  • Discount/Archive - the request goes to Discounted Matches. Hidden from the client view but retained for your record.


✅ You've done it when…

Your inbound match request queue is empty, every approved property is on your Match Schedule ready for client review, and the disposal agents who sent requests have had a response (either approval or messaging).

💡 Common mistakes & pro tips

  • Action inbound match requests promptly. Disposal agents who see quick responses send more, better-qualified matches your way over time.

  • Archive freely. Archived matches don't appear on the client report and disposal agents aren't told they were archived - no diplomatic cost.

  • Use agent messaging for pre-qualification. A quick "Is the floor still available in October?" before approving saves surprising the client with stale options.

  • Comments on approved matches appear on the client-facing schedule - keep them client-appropriate.
