As an Organisation Admin, edit user profiles, reassign Requirements and Disposals, manage Society/Pro/Atlas seats, switch users between offices, add new colleagues and export your user list - all from a single page.
❓ Why
Your User Management page is the home for everything about the people in your organisation. Used well, it removes the friction that comes from raising support tickets for routine changes - role moves, contact updates, team changes - and gives you the audit trail your finance and ops teams expect.

As Organisation Admin you can:
Edit user profile details (name, contact info, profile image)
Reassign Requirements and Disposals between users
Manage, reallocate or remove Society, Pro and Atlas subscriptions

There is no limit to the number of Organisation Admins a company can have on Kato. If you would like to change or add more Organisation Admins, please contact Help@kato.app, and you will be put in contact with your Account Manager to confirm your request.
📊 Step-by-step
1. Edit a user's profile details
Within the profile section of the panel, click Edit to update a user's name, mobile, email, phone number or profile image.
Note: Adding or updating a user's Position (job title) is only available to each user within their own profile settings - https://os.agency.kato.app/settings/profile.
2. Reassign Requirements and Disposals
Useful when a user is leaving the team/organisation or their role is changing. All requirements and disposals connected to a user can be reassigned to another colleague using the actions menu. Changes appear in Kato straight away, and overnight for portals and websites.
3. Manage Society, Pro and Atlas seats
Each Society requires a separate seat per user (e.g. IAS and OAS = two seats).
Society seats are paid for at the Society level; Pro and Atlas seats use your contracted licence allocation.
To toggle Pro or Atlas on/off, use the User Management tab. To purchase more seats, contact your account manager or email help@kato.app.
To remove a user from a Society seat:
Search for the user.
Hover their row and click the X on the right.
Confirm.

4. Switch a user between offices
If a user moves offices or teams, adjust their profile to reflect the change.
5. Add a new user
Click Add User.
Fill in all required fields.
Once created, upgrade them to Pro or Atlas by assigning a seat (above), and/or assign a Society seat.
6. Export your user list
Click Download for an Excel copy that includes subscription details.
❓ Why record transfers are needed when closing a user account
In Kato, every record must have an owner. This keeps filters working, reporting accurate, and ensures marketing content always has a point of contact. Before any user account can be closed, the records they own must be transferred to another active user. The user changes are visible in User Management.
Subscription changes appear against the user's row.
Reassigned Requirements / Disposals show under the new owner.
The downloaded user list reflects your latest changes.
💡 Common mistakes & pro tips
Trying to set someone as Organisation Admin from User Management. Org Admin role can only be set or removed by Kato Support - email help@kato.app.
Updating a user's job title from this page. Position is editable only by the user themselves in their profile settings.
Removing a user without reassigning their records. Records need an owner - reassign first.
Assuming one seat covers multiple Societies. Each Society needs its own seat (e.g. IAS + OAS = two seats).
Forgetting that portal/website changes take time. Kato updates immediately, but published feeds refresh overnight.
